Tacoma Public Utilities is looking for a highly organized and results-oriented leader with a proven ability to drive operational efficiency to join our team as the Mail & Print Services Supervisor in our Customer Experience and External Affairs department.
As the Mail & Print Services Supervisor, you will play a pivotal role in overseeing and optimizing key operational functions, leading critical projects, and developing our talented staff. You will be responsible for managing multiple complex assignments, ensuring the accurate and timely completion of work, and driving continuous improvement across departments. This position requires a strategic thinker with well-developed leadership, project management, and analytical skills.
In this position, you will work on site supervising a team of approximately 8 union represented positions across 2 work sites and be responsible for working from both locations with the ability to travel between them as needed.Primary Responsibilities:
- Staff Leadership & Development
- Provide coaching, supervision, and performance evaluations for staff, ensuring proper training and direction.
- Maintain compliance with security training and collective bargaining agreements.
- Project & Operational Management
- Organize and oversee multiple assignments, including complex and competing priorities, to ensure accurate and timely work.
- Develop and lead unit projects, serving as the department representative in meetings and committees, and handle special projects.
- Coordinate and optimize invoice processing, marketing mailings, and printed operational procedures to enhance efficiency and cost-effectiveness across departments.
- Procurement & Vendor Management
- Manage vendor contracts, oversee procurement processes, and ensure timely application of equipment maintenance, software, and service agreements.
- Provide strategic recommendations on equipment and material purchases to drive efficiency and cost savings.
- Oversee inventory procurement and management to ensure timely availability of materials, tools, and equipment while maintaining cost-efficiency and compliance
- Technical & Industry Expertise
- Apply technical knowledge in mail piece design, automation, and classification to optimize postage and shipping costs.
- Collaborate with the United States Postal Service and vendors to resolve complex issues.
- Strategic Planning & Financial Oversight
- Develop strategic objectives by analyzing market trends and emerging technologies.
- Oversee financial reporting, data analysis, and budgeting, including managing a multi-million biannual budget, chargeback rate setting, and forecast operational needs.
- Customer & Business Support
- Build and maintain relationships with internal customers, providing expertise and recommendations for marketing and fulfillment campaigns.
- Conduct industry research, forecast trends, and analyze data to support business decisions and operational improvements.
Minimum Education* Bachelor's degree in business or public administration, communications or directly related field Minimum Experience* 5 years including 1 year prior at a supervisory level *Equivalency: 1 year of experience = 1 year of education
Desired Qualifications:- Valid Washington State driver's license
- USPS Mail Design Professional (MDP) Certification
- USPS Executive Mail Center Manager (EMCM)
- Certified Mail and Distribution Systems Manager (CMDSM)
